Main purpose of the role

Responsible for financial performance of all allocated projects, from initial enquiry through to final account and release of final retentions. Proactive financial management aware and recording holistic financial position, both upstream with clients and downstream with suppliers and sub-contractors.

Preparing weekly running final accounts, managing and welcoming change with immediate responses to clients and internal stakeholders.

Constantly evaluating financial performance and risk, preparing monthly Cost Value Reconciliation (CVR) for all projects allocated for discussion and review with line manager, maintaining an accurate view of final project performance and profitability.

Within framework relationships, identify areas of continuous improvement which will either improve profitability and our client service.

Embrace feedback and operate as a collaborative team player with Directors, Project Managers, Buyers, Finance and support team members.

Key Responsibilities

Procurement

  • Prepare and deliver a strategic supply chain plan to improve service levels, quality and profit.
  • Attend operational/Projects meetings and provide purchasing progress reports and advice
  • Issue supplier questionnaires and ensure these  are entered on the approved list of suppliers
  • Liaise with suppliers to obtain competitively priced materials
  • Liaise with design team to arrange and order samples from suppliers
  • Obtain 3 enquiries for all sub-contract elements and complete price comparison for recommendation.
  • Raise sub-contract orders following the selection process
  • Raise purchase orders from requisitions produced  by other departments
  • Negotiate and optimize commercial terms with suppliers and subcontractors
  • Agree and challenge supplier delivery times and ensure these meet production / site programmes
  • Deal effectively with challenges with suppliers and the flow of materials
  • Assess reliability of sub-contractors and suppliers (bi-annual supplier assessments)
  • Control and maintain incoming goods log and chase any overdue materials
  • Complete purchasing report s against budgets
  • Produce, analyse and publish supply chain metrics
  • Pro-actively seek to address and improve the quality of commercial management through supplier development and site visits.
  • Maintain accurate cashflow records for projects, including forecast income statements and supply chain outflow, always ensuring project cash performance is +15% or better.

Client Relationships

  • If required by Director, prepare estimates as required, including a starting CVR to accurately identify profit performance.
  • Prior to submission with client, arrange an adjudication discussion with line manager to collaboratively review risks, opportunities, supply chain coverage and programme.
  • Submit on a timely basis as requested by client project manager.
  • Attend site meetings as requested by client and to support the project team.
  • Liaise with site teams and client teams to manage change requests, change is to be priced quickly and evaluated with the Project Manager regarding any time implications.
  • If required and following consultation with line manager, evaluate contract conditions and apply for formal extensions of time, prolongation and the like. Consider communication strategies to ensure client perception remains positive at all times.
  • Arrange client visits for Practical Completion and prepare if required an internal Practical Completion Certificate to formally represent handover of the project.
  • Maintain weekly running final account documentation to share with client and ensure they are fully appraised at all times of the DBSJ interpretation of project status, including any substantiation and breakdowns which may be required.
  • Prepare timely valuations in accordance with the contract, provide any detail requested and ensure timely raising of invoices by DBSJ.
  • Monitor retention position, upstream and downstream, ensure submissions for release of retentions are submitted to the client ahead of time and arrange meetings for final sign off and ultimate cash collection.
  • Always look to improve client relationships through proactive and empathetic cash and financial management of projects.

Certifications / Systems

  • Collate, maintain obligations and ensure compliance with all client BREEAM, SKA and LEEG Gold requirements
  • Ensure compliance with FSC policies, procedures and complete chain of custody paperwork.
  • Overall management of FSC certification and continuation of system certification (including volume summaries and external audits)
  • Raise any material issues and non-compliances with Project and Design teams
  • Ownership of commercial systems and inputs within ISO9001, ISO14001, FSC and Health & safety requirements

Job related competencies

  • Joinery and interior contracting experience – Workplace – Hospitality and Retail
  • Knowledge of BREEAM and FSC
  • Experience in managing external certifications (BREEAM / FSC / ISO systems)
  • Microsoft Office
  • 5 years plus strategic and operational experience within estimating or commercial management.
